Operations Assistant Job Description

We’re seeking a tenacious, logical and determined Operations Assistant to join our growing team. Someone who loves to problem solve and has the grit to get through busy peaks with the rest of the team!

Based in our London office, this dynamic and rewarding role will involve coordinating teams operating 24 hours a day in some of the most exclusive venues in the world. The Operations Assistant is a pivotal position, acting as the first point of contact for the majority of our workforce.

This is an immensely challenging role that requires loads of energy, dedication, humour and people skills. Experience in a similar role is not required, as there’s not many jobs like this. If you’re a logical thinker, love problem solving and happy to negotiate with others to get the job done, we’d love to hear from you.

Duties:

  • Booking crew on to jobs using the app and the phone

  • Responsible for getting crew booked into last-minute jobs

  • Problem solving, route planning and otherwise assisting crew to go to work

  • Acting as a point of contact for crew, recording issues and achievements

  • Work with the senior crew and the duty managers to ensure all incidents, lateness, grievances and issues are recorded accurately and followed up promptly

  • Work with the duty managers to support professional development for all crew

  • Compiling information about jobs and sending out to crew as required

  • Coordinating vehicle movements, logistics and travel arrangements for crew

  • Gathering information and signing off crew hours

  • Accurately disseminating information and sharing appropriately

  • Maintaining filing systems and filling out reports

  • Ensuring daily, weekly and monthly deadlines are met

  • Administrational support of managers

Personal Specifications:

  • Some hands-on experience ideally as a crew member at Connection Crew

  • Superb telephone manner

  • Proactive problem solver

  • Effective communicator in both formal and informal settings and able to tell which is appropriate

  • Willing and able to put the business first and negotiate with colleagues to get the job done

  • Able to work effectively and reliably in an informal environment

  • High level of IT proficiency

  • Ability to multi-task and manage priorities within a dynamic environment

  • Detail orientated, able to complete repetitive tasks accurately and efficiently

  • Flourish working as part of a team and independently

  • Responsive and flexible with a positive work ethic

  • The desire to take ownership of a challenge and develop with the role

Desirable:

  • Previous administrative experience

  • High tolerance of rug-pull moments and moving goal posts

  • Culinary talents

Job details:

  • Contract Type: Permanent

  • Benefits: Pension, Cycle to work scheme

  • Salary: £23,000 – £26,000 p.a.

  • Hours: Full Time (Mon-Fri 09:00-17:00 and sometimes outside of these)

  • Location: Office based, CC HQ Bermondsey

Duty Manager Job Description 

Duties – Operations: 

  • Booking crew on to jobs using the app and the phone 

  • Responsible for getting crew booked into last-minute jobs 

  • Acting as a point of contact for crew, recording issues and achievements 

  • Work with the rest of the senior crew and the operations team to ensure all incidents, lateness, grievances and issues are recorded accurately and followed up promptly 

  • Manage disciplinary procedures in line with Connection Crew policies; informing crew promptly whenever disciplinary actions are required 

  • On call outside of office hours to respond to calls from clients and crew 

  • Facilitate extended opening hours during busy periods by working early/late shifts in the office 

  • Use reporting tools to identify and find solutions to crew issues 

  • Proactively manage availability and ensure it is kept up to date across the crew 

  • Project Management and H&S duties as directed by Head of Crew or Senior Management 

Duties – HR + Training: 

  • Jointly responsible (with other Duty Managers and Head of Crew) for the wellbeing and development of the crew 

  • Deliver practical training sessions at new-starter and more advanced levels 

  • Ensure new crew are welcomed into the team, liaising with the operations team to ensure they are scheduled correctly in their first weeks 

  • Review new starters and administrate the probationary period 

  • Work proactively with individual crew members to improve their performance 

  • Work with the Head of Crew and Senior Crew Chief to up-skill individuals in line with the needs of the business and their personal ambitions 

  • Conduct reviews with crew members (shared responsibility) both in person and over the phone
